Terms and Conditions – Andean Diaries Travel Peru EIRL
Andean Diaries Travel Peru Terms and Conditions outline the booking policies that apply when reserving a trip with our company. These conditions explain how reservations, payments, cancellations, and responsibilities work for both our clients and the company. By reviewing this document, travelers can understand their rights and obligations before confirming a booking.
1. The Contract
The contract exists between the client (the traveler or person making the booking) and Andean Diaries Travel Peru EIRL. When you book through our website, by email, by phone, or any other method, you agree to these Terms and Conditions. This document replaces all prior verbal or written agreements between both parties.
Note: These Terms and Conditions apply only to services provided directly by the Company. They do not apply to international flights, which follow airline policies.
✈️ Note on Domestic Flights
Domestic flights within Peru may be included in your package. When included, they follow the airline’s rules and policies. If you need our help booking flights, payment must be made immediately upon confirmation, since airfare prices and seat availability change constantly.
2. Reservation and Payment
To secure your booking, you must complete a reservation form and pay a deposit. We recommend booking at least 30 days before your travel date.
Your reservation becomes valid once we confirm the deposit. We reserve the right to decline any booking at our discretion.
3. Client Information
You must provide the following information at least 30 days before your trip:

Medical form (if required)

International flight details

4. Final Payment and Surcharges
Final payment is due at the start of your tour. To avoid surcharges, we advise booking early and avoiding last-minute hotel or itinerary changes.
5. Changes to Your Reservation
If you request changes up to 30 days before departure, a US$50 administration fee per person applies. Requests made less than 30 days before departure are treated as cancellations.
If you cannot travel and notify us at least 20 days before departure with a valid reason, you may transfer your booking to another traveler or request a refund (minus 20%: 10% for administration and 10% for transfer fees). Refunds are processed within 15 days.
6. Changes by the Company
We may adjust itineraries, services, or prices due to circumstances beyond our control. If this happens, we will notify you as soon as possible. Adjustments will be made when necessary to ensure safety and service continuity.
7. Cancellation Policy

Up to 30 days before departure: 50% cancellation fee

8 to 1 days before departure: 100% cancellation fee
Note: Airline tickets (commercial or charter) are non-refundable. However, airlines generally allow use of the ticket within one year, subject to penalties and fare differences.
8. Travel Insurance
We strongly recommend travel insurance covering:

Medical emergencies

Repatriation and evacuation
-
Trip cancellation or interruption
-
Personal liability
If you decline insurance, you must sign a waiver and accept full responsibility for all risks and costs.
9. Medical Form
If you have a pre-existing medical condition, you must submit a completed and signed form (approved by a licensed physician) 15 days before the trip.
10. Financial Protection
Andean Diaries Travel Peru EIRL is fully registered with the Ministry of Tourism and complies with regulations to protect client funds.
11. Client Responsibilities
Clients must follow instructions from company staff and guides. We reserve the right to remove any participant whose behavior compromises group safety, comfort, or enjoyment.
You are responsible for carrying valid travel documents, such as passports, visas, and vaccination certificates. Your passport must remain valid for at least 6 months after your return date.
12. Company Responsibilities
Adventure travel involves risks. While we act with due diligence, we cannot be held liable for events beyond our control, such as:

Force majeure

Weather disruptions
-
Natural disasters
-
Transportation delays
-
Failures by third-party providers
13. Flight Delays and Disruptions
We are not responsible for flight delays or cancellations caused by:

Weather
-
Airline rescheduling
-
Technical problems
-
Strikes
-
Air traffic control decisions
Nevertheless, we will make every reasonable effort to adjust your itinerary if such issues arise.
14. Children’s Policy
Unless stated otherwise, child rates apply to travelers under 12 years of age. Travelers 12 and older are charged adult rates.
15. Last-Minute Reservations
Bookings made within 10 days of departure incur a US$50 processing fee to cover urgent logistics.
16. Complaints and Claims
You must report any complaint immediately to our local representative during your trip. Failure to do so may affect compensation eligibility. Formal complaints must be submitted in writing within 28 days of return.
17. Acknowledgment and Consent
By signing the reservation form or proceeding with a booking, you confirm that you have read, understood, and accepted these Terms and Conditions.
